2 INST ALLING CLIENT SOFTW ARE 14 Installing Network Fax Software Inst alling Network Fax Software This chapter describes how to install the software req uired for fax transmission from th is equip- ment and for using various address books. It is recommended that you read this chapter in its entirety before the installation.
Installing Network Fa x Software 15 Before inst alling client software Before installing the client software, confirm t he following to perform an appropriate installation. When the AddressBook Viewer has already been inst a lled: The AddressBook Viewer cannot be double-installed or overwritten.

Installing Network Fa x Software 19 If this equipment is not properly connected in your netwo rk, the message that the i nstaller cannot discover this equipment is displayed. Click [Retry] to search again. Click [Con- tinue] to configure a local port.

When you select to install the N/W-Fax driver , the Digital Signature Not Fou nd dialog box is displayed while files are being copie d.

If yo u do not select a tem- porary port, the procedure is not nece ssary . 1 Click [S t art], select [Settings], and click [Printers] to open the Print- ers folder .

Installing Network Fa x Software 23 6 Enter the IP address of this equipment in th e “Printer Name or IP Address” field and click [Next]. y If your network uses a DNS or WINS serve r , enter the printer name of this equipment provided from DNS or WINS in the “Printer Name or IP Address” field.

Installing Network Fa x Software 25 8 Click [Finish]. The screen returns to the Printer Ports dialog box. 9 Click [Close] to close the Printer Port s dialog box. 10 Make sure the create d Raw TCP or LPR port is checked in the “Print to the following port(s)” list and click [Clos e].

T he uninstallation procedure is different depending upon how you installed the client software.

If you want to re-install the cli ent software late r , click [No ] to remain the setting files. Y ou can restore the data and settings when you re-install the client software.

3 F AXING FROM CLIENT COMPUTERS 34 Faxing from Applications Faxing from Applications The N/W-Fax driver allows you to fax document data from your comput er to several destina- tions. It also enables the setup of the fax pr operties and editing of the sender ’ s informatio n.
Faxing from Applications 35 2 Select “TOSHIBA e-STUDIO205 Series Fax” and Click [Properties]. The properties dialog box ap pears. The procedures for displaying the properties dialog for the printer driver may be different depending on the appl ication you are using.

Faxing from Applications 39 3 Click [OK]. The AddressBook Viewer is closed and the recipients selected for “T o” are listed. When the fax transmission is completed, the recipi ents are automatically removed from the “T o” list. Entering a recipient manually 1 Click [New].

Faxing from Applications 41 Searching the addre ss book for contact s In order to quickly locate contacts you can search the address book database. Y ou simply type in a string or letters to be used to search the database. The AddressBook Viewer will search for any entry that contains the specified string.

T o change the setting of the default address book in the [Data Source] drop down bo x, select [View] - [Default Configuration] - [Data Source] and then choose an address book.
Faxing from Applications 43 4 Display the [Person] t ab and enter search strings in the following fields. Display Name — T o search display names, enter a search string he re. Fax Number — T o search fax numbers, enter the numbers here. Email — T o search Email address, enter a search string here.

Condition of search string — Select a condi tion in the left-hand drop down box, and then enter a search string in the right-hand fie ld.

Faxing from Applications 47 8 Click [OK]. The AddressBook Viewer is closed and the recipients selected for “T o” are displayed on the list. When the fax transmission is completed, the recipi ents are automatically removed from the “T o” list.
3 F AXING FROM CLIENT COMPUTERS 48 Faxing from Applications Setting up the ne twork fax options Network fax options are the attributes you set to define the way a fax job is transmitted. For example, you can specify the recipients, resolution, and paper size.
Faxing from Applications 49 5) Resolution Select the resolution for the fax. - St andard (200 x 100 dp i) — Select this to send a document in S tandard mode (200 x 100 dpi). - Fine (200 x 2 00 dpi) — Select this to send a document in Fine mode (200 x 200 dpi).
3 F AXING FROM CLIENT COMPUTERS 50 Faxing from Applications Setting up the cover sheet properties In the Cover Sheet tab of the network fax properties dialog box, you can specify the fax cover sheet to be sent. If you enable the cover sheet, t he cover sheet is attached in the first page of the document and sent to the recipients.
Faxing from Applications 51 Setting up the sender information properties In the Sender Information tab of the network fax properties dialog box, you ca n specify the sender information that appears on the cover sheet. This must be set only when th e “Sender Information” box in the Cover Sheet tab is checked.

However , if you access the AddressBook Viewer from the S tart menu, recipients cannot be selected.

Managing Address Book 65 Managing Address Book Y ou can use the AddressBook Viewer to manage t he private address boo k. Y ou can add or edit the contacts and group s as you de sire. The privat e address book data is stored in your client computer . It can be used to manage the contacts and group s for sending a fax using the N/W- Fax driver .
4 USING ADDRESS BOOK 66 Managing Address Book Managing the private address book Y ou can manage your own address book u sing t he private address book. Y ou can ad d, delete, and modify the contacts in this address book. Y ou can also create, delete, and modify grou ps.
Managing Address Book 67 Discovering the device and obt aining the public address book dat a 1 Select “Public Address Book” in the browse p ane, click the [T ools] menu, and select [Device Setting]. The Local Discovery dialog box appears. 2 Click [S t art Discovery] to begin the process.

Managing Address Book 69 3) Network - Enable TCP/IP Search Check on this to search devices that connect to the TCP/IP network. This is availab le only when the TCP/IP protocol is installed in your co mputer . When this is enabled, select how it searches printers in the TCP/IP network.

IPv4 - IP Address — Enter the IP address of the printer . IPv6 - IP Address — This is disabled because the AddressBook Viewer does not support the IPv6.

Only the administrator can back up the ad dress book data. If the address book data are old, ask your administrator to back up the address book data.
Managing Address Book 73 Configuring the MAPI address book The AddressBook Viewer automatically accesses the address boo k application of the default Email client software using the Messaging API (MAPI).

It sho ws “389” as a default. Chang e this number if you a re sure the LDAP port number is changed from the defaul t port number on the LDAP server .
4 USING ADDRESS BOOK 76 Managing Address Book — Adding cont acts from LDAP servers After you register the LDAP directory services, yo u can search co ntacts in the L DAP servers and add preferred contacts to the LDAP address book. Y ou can search contacts by the name and fax number .

The selected contacts are added to the LDAP address book. Searching cont acts by det ailed search conditions 1 Click the [Edit] menu and select [Find].

Managing Address Book 81 Importing and exporting the address book The Export feature of th e AddressBook Viewer allows yo u to cr eate a CSV file or vCard file of your selected address book, and it can be impo rte d to other user ’s AddressBook Viewer .

The Importing dialog box appears. y The [vCard File] command will appear only when Micros oft Of fice XP is installed on your computer .
Managing Address Book 83 3 The address book dat a is imported into “Import Address Book”. If you have already been import an address book b efore, contacts information is overwritten to the existing import address book.

The Exporting dialog box appears. y The [vCard File] command will appear only when Micros oft Of fice XP is installed on your computer .
Managing Address Book 85 Managing cont acts and group s Y ou can manage contacts or groups in a private ad dress book. The private address book allows you to register up to 2000 contacts into its “Location/People” folder and sort them into some groups arbitrarily created.

Managing Address Book 87 3 In the Personal t ab, enter items as described below . One T ouch ID — Select the one touch ID number for the contact (if desired). Prefix — Select the prefix for the contact. First Name — Enter the first name of the contact.

Use Sub Address and sender information — Check this to enable sub address transmission for this contact. When this is checked, documents will be always sent using the specified sub address and SID.
Managing Address Book 89 — Copying cont acts from an address book Y ou can also add con tacts to the private ad dress book by copying contacts from another address book folder. Copying cont acts from another addres s book folder 1 Browse to the folder that cont ains the cont acts you want to copy , and select the cont act s in the right pane.

4 USING ADDRESS BOOK 94 Managing Address Book — Removing cont acts Y ou can remov e contacts from the priv ate address book and LDAP address book. Removing cont acts from address book 1 Browse the folder that cont ains cont acts you want to remove , and select cont acts in the right p ane.
Managing Address Book 95 Managing group s Y ou can add groups to the “Grou p” folder in the private ad dress book. Groups can be used for multiple transmission. P .95 “Creating groups” Also you can modify or delete cont acts in the private address book.

Managing Address Book 97 — Modifying group name Y ou can change the group name of the groups in th e private address book. Y ou can also display the properties of a group in the public addre ss book. Y ou cannot modify the gro up of the public address book.

Select “ABC (Address Book Convert er) (*.abc)” in the “Files of type” drop down box, select the file, and click [Open]. 4 Select the model name that the selected file is originally created from in the “Machine T ype” drop down box.
4 USING ADDRESS BOOK 106 Managing Address Book 6 Locate the folder where you want to save a con verted file. Select “TBF (Restore) (*.tbf)” in the “Sav e as type” drop down box, enter the file name in the “File name” field, and click [Save].
