INTRODUCTION 1 - 4 Turning the machine to Power Save condition When the machine is idle, you can turn it to Power Save condition by pressing t he Power Save key. In Power Save mode, the machine will recei ve telephone call s as normal. For furt her infor mation on receiv ing faxes in t he power save condit ion, please see the table on page 1-5.
1 - 5 INTRODUCTI ON Power Save Setting You can custo mize the machine’s Powe r Save key. The default mode is Fax Receive :On , so your machine can receive faxes or calls even when the machine is in Power Save mode. If you do not want your mach ine t o recei ve faxe s or cal ls, tu rn thi s sett ing t o Fax Receive:Off .
INTRODUCTION 1 - 6 Load docu ments You can send a fax, make copies, and scan f rom the ADF (Aut omatic Document Feeder) or from the sca nner gl ass. Using the ADF (Automatic Document Feeder) (MFC-425CN only) The ADF can ho ld up to 10 pages an d feeds each sh eet indi vidually.

To get the best print qual ity for the set tings you’ve chos en, always set the Paper Type to match the type of paper you load . You can use plain paper, inkjet paper ( coated paper), glossy paper, transparenci es and envelopes.

INTRODUCTION 1 - 14 How to load paper, envelopes and post cards To load paper or other media 1 Pull the paper tra y completel y out of the machine and remove the output paper tray. 2 Press an d slide t he paper si de guide t o fi t th e paper width. 3 Pull out the paper suppor t and unfold th e paper support flap.
1 - 15 INTRODUCTION 4 Fan the stack of paper well to avoi d paper jams and mis-feed s. 5 Gently insert the paper into the paper tray print side down and the leadi ng edge ( top of the paper ) in first. Check that t he paper is f lat in the t ray and below t he maximum paper mark.

1 - 19 INTRODUCTION Fax tones and handshake When someone is sending a f ax, the machine s ends fax cal ling tones (CNG tones). These ar e quiet , inter mitte nt beeps every 4-seconds. You’ll h ear the m after you di al and pr ess Mono Start or Colour Start and they will continue for about 60 seconds after dialli ng.
INTRODUCTION 1 - 20 ECM (Error Correction Mode ) The Error Correc tion Mode (ECM) is a way fo r the machine t o check a fax transmissi on while it is in progress. I f the machine detects errors dur ing fax transmi ssion, i t res ends the pages of t he fax that had an erro r.
2 - 1 GETT ING STARTED 2 Initial Setup Setting the Date and Time When the mach ine is not in use it will di splay t he date and time. If you set up the Station ID the date and time displ ayed by your machine will be printed on eve ry fax you send. If there is a power failure, you may have to reset the date and time.

2 - 3 GETT ING STARTED Setting the Phone Line Type If you ar e connect ing the machine to a lin e that features a PBX or ISDN to send and receive faxes, it is also necessar y to change the Phone Line Type accordingl y by completing the fol lowing steps.
GETTING STARTED 2 - 4 General Setup Setting the Mode Timer The machine has f our te mporary mode keys on t he contr ol panel : PhotoCapture , Copy, F ax and Sca n. You c an change the number of seconds or minutes the machine t akes af ter the last Copy, Scan or PhotoCaptur e operation befor e it returns to Fax mode.
2 - 5 GETT ING STARTED Setting the Paper Size You can use five sizes of paper for print ing copies : Letter, Legal , A4, A5, and 10 x 15 cm a nd thre e sizes for printin g faxes: Lett er, L egal and A4.
GETTING STARTED 2 - 6 Setting the Speaker Volume You can adjust the machine’s one-way speak er volume. 1 Press Menu/S et , 1 , 4 , 3 . 2 Press ▲ or ▼ to select Low , Med , High or Off .
3 - 1 SETUP SEND 3 How to enter Fax mode Before sending faxes , make sure ( Fax ) is illu minate d in green. If not, press ( Fa x ) to enter Fa x mode. The def ault setting is Fax. How to dial You can dial in any of th e fol lowing ways. Manual dialling Press all of the digit s of the phone or fax number.
SETUP SEND 3 - 2 Speed-Dia lling Press Sea rch/S peed Di al , # , and then the two digit Speed- Dial number. (See Storin g Speed-Dial numbers on page 5-1.) Search You can search for names you have stored in the Speed-Dial memories. Press Search/Spe ed Dial and the navigation keys to search.
3 - 3 SETUP SEND How to Fax Colour fax transmission Your machine can send a colour fax to machines tha t support this feature. However, colour fa xes cannot be stored in the memory. When you send a colour fax, the machine wil l send it in real t ime (even if Real Time TX is set to Off ).
SETUP SEND 3 - 4 Faxing from the scanner glass You can use t he scanner glass t o fax pages of a book or one page at a time. The documents can be up to A4 size. 1 If it is not ill uminated in green, press ( Fa x ). 2 Load your document on the scanner glas s.
3 - 5 SETUP SEND Automatic transmi ssion This is t he easies t way to send a fax. 1 If it is not ill uminated in green, press ( Fa x ). 2 Load your document. 3 Dial the fax number you want to call. (See How to dial on pa ge 3-1.) 4 Press Mono Start or Colour Start .
SETUP SEND 3 - 6 Basic sending operations Sending faxes using multiple settings When you sen d a fax you ca n choose any combina tion o f these settings: contrast , res oluti on, over seas mode, del ayed f ax ti mer (MFC-425CN only), polli ng transmissi on (MFC-425CN only) or real time t ransmiss ion.
3 - 7 SETUP SEND Fax Resolution You can use t he Fax Resolution key to change the setting temporaril y (for this fa x only). In Fax mode ( Fax ), press Fax Resolution and ▲ or ▼ to se lect the set ting you want , and then press Menu/Se t . — OR — You can change the default setti ng: 1 If it is not illuminated i n green, press ( Fa x ).
SETUP SEND 3 - 8 Dual Access (Monochrome only) You can dial a number, and begin scanning the fax into memory— even when the machine is sending from memory or receiv ing faxes. The LCD shows the new job number and available memory. Your machine normall y uses Dual Acc ess.
3 - 9 SETUP SEND Real Time Transmission When you ar e sending a fax, the machine will scan the document s into the memory bef ore sending. Then, as soon as t he phone line is free, t he machine will s t art di alling and sending. If the memory is full , the machine will send the document in real time (even if Real Time TX is set to Off ).
SETUP SEND 3 - 10 Checking job status Check which job s are still waiti ng in th e memory to be sent. (If there are no jobs, the LCD shows No Jobs Wait ing .) 1 For MFC-215C, press Menu/Set , 2 , 5 . For MFC-425CN, press Menu/Set , 2 , 6 . 2 If you h ave more than one job waiting, press ▲ or ▼ to s croll through the li st.
3 - 11 SETUP SEND Advanced s ending operations Broadcasting (Monochrome only) Broadcasting i s when the same fax message is automatically sent to more than one fax number. You can include Groups, Speed- Dial numbers and up to 50 manually dialled numbers in the same broadcast.
SETUP SEND 3 - 12 To Stop a Bro adcast In Progress 1 For MFC-215C, press Menu/Set , 2 , 5 . For MFC-425CN, press Menu/Set , 2 , 6 . The LCD will display the fax number being dialle d. 2 Press Menu/S et . The LCD will display: 3 Press 1 to Clear. The LCD will then display the Broadc ast job number and 1.
3 - 13 SETUP SEND Delayed Fax (Monochrome only) (MFC-425CN only) During the day you can store up to 50 faxes in the memory t o be sent within 24 hours . These faxes will be sent at the ti me of day you enter in Step 4. 1 If it is not illuminated i n green, press ( Fa x ).

SETUP RECEIVE 4 - 1 4 Basic receiving oper ations Choosing the Receive Mode There are four different Recei ve Modes for your machine. You can choose the mode that best suit s your need s. SETUP RECEIVE 4 - 3 Setting the F/T R ing Time (Fax/Tel mode on ly) If you set the Recei ve Mode to Fax/Tel, you’l l need to decide how long the machine will signal you with i ts special pseudo/double-ri ng when you have a voice cal l . (If it’ s a fax call, the machine prints the fax.
4 - 4 SETUP RECEIVE Fax Detect When you use this feature, you don’t have t o press Mono Start , Colour Start , or the Fax Receive Code 51 when you an swer a fax ca ll. Sel ecting On allows the machine to rec eive fax calls automatically , even if you lift the handset of an extension or external phone.
SETUP RECEIVE 4 - 5 Printing a reduced incoming fax (Auto Reduction) If you c hoose On , the machine automatically reduces an incoming fax to fit on one page of A4, Letter or Legal size paper. The machine calculate s the reduct ion rati o by using t he page size of the document and your Paper Size setting ( Menu/Set , 1 , 3 ).
4 - 6 SETUP RECEIVE Reception into memory (Monochro me only) As soon as the pap er tray becomes empty duri ng fax recept ion, the screen will displ ay No Paper Fed ; please put some pa per in the paper tray . (See How to load paper, envelopes and post cards on page 1-14.
SETUP RECEIVE 4 - 7 Polling (MF C-425CN only) Polling is the proces s of retrieving faxe s from another fax machine. You can use your machi ne to ‘poll ’ other machi nes, or you c an have someone poll your machine. Everyone who is involv ed in Polling needs to set up their fax machines for Polli ng.
4 - 8 SETUP RECEIVE Setup for Polling Recei ve with Secure C ode You need to make sure you are using the same secure code as the other part y. 1 If it is not illuminated i n green, press ( Fa x ). 2 Press Menu/Set , 2 , 1 , 7 . 3 Press ▲ or ▼ to select Secure .
SETUP RECEIVE 4 - 9 Sequenti al Polling The machine can r equest doc uments from s everal fax un its in a single oper ation. You just specify sev eral destinatio ns in Step 5. Afterwards, a Sequential Polling Report will be printed. 1 If it is not illuminated i n green, press ( Fa x ).

QUICK-DIAL NUMBERS AND DIALLING OPTIONS 5 - 2 Changing Speed-Dial numbers If you try to sto re a Speed-Dial number where a number has already been stored, the LCD will show the name that has been store d there (or numbe r) and wi ll ask you to do one of the fol lowing : 1 Press 1 to change the stored number.
5 - 3 QUICK-DIAL NUMBERS AND DIALL ING OPTIONS Setting up Groups for Broadcasting Groups all ow you to se nd the same fax me ssage to many fax numbers by pressing only a few keys ( Search /Speed Di al , # , the two-digit number, and Mono Start ). First, y ou’ll need to store each fax number as a Speed-Dial number.

REMOTE FAX OPTIONS (MFC-425CN ONLY) 6 - 5 Setting your Remote Access Code The remote access code lets you acce ss the Remote Retrieval features when you are away from your m achine. Befor e you use the remote access and retrieval features, you hav e to s et up y our own code.
6 - 6 REMOTE FAX OPTIONS (MFC-425CN ONLY) Remote Retrie val You can call your machine from any touch tone t elephone or fax machine, then use the Remote Access Code and remote commands to retriev e fax messages. Using your Remote Access Code 1 Dial your fax number fr om a telepho ne or another fax machine using touch tone.
REMOTE FAX OPTIONS (MFC-425CN ONLY) 6 - 7 Remote co mmand s Follow th e commands below to acce ss features when yo u are away from the machine. When you call the machine and enter your Remote Access Code (3 digits fo llowed by ), t he system wi ll give two short beeps and you must enter a remote command.
6 - 8 REMOTE FAX OPTIONS (MFC-425CN ONLY) Retrieving fax messages You can call your machine from any touc h tone phone and have your fax messages sent to a fax machine. 1 Dial your fax number. 2 When your machin e answers, immediatel y enter your Remote Access Code (3 digits f ollowed by ).
PRINTING REPORTS 7 - 1 7 Fax settings and activity You need to set up the Tr ansmissio n Verificat ion Report and Jour nal Period in the menu table. Press Menu/Set , 2 , 4 , 1 . — OR — Press Menu/Set , 2 , 4 , 2 . Customizing the Transmission Verification Report You can use the Transmissi on Verificati on Report as proof t hat you sent a fax.
7 - 2 PRINTING REPORTS Setting the Journal Period You can set the machine to print a journal at specific interval s (every 50 faxes, 6, 12 or 24 hours, 2 or 7 days). If you set the i nterval to Off , you can print the report by following the steps on the next page.

8 - 1 MAKING COPIES 8 Using the ma chine as a copier You can use your machine as a copier, m aking up t o 99 copies at a time. Enter Copy mode Before making copies, make sure that ( Copy ) is illuminat ed in green. I f it is not , pres s ( Copy ) to enter Cop y mode.
