Chapter 1 1 - 2 Choosing a location Place your mach ine on a flat, st able surface that is free of vibration a nd shocks, such as a desk. Put the machine near a telepho ne socket and a standard, grounded electrical socket. Choose a location where the te mperature remains between 10° C and 32.

Using the automatic document feeder (ADF) The ADF can hold up to 20 pages, feeding each one in dividually through the ma chine. Use standard 80 g/m 2 paper and always fa n the pages before putting them in the ADF.
Introduction 1 - 9 1 About paper Recommended paper To get the b est print quality, we suggest u sing the following paper. (For EU and Asia/Ocean ia) ■ Use paper that is ma de for plain-paper copying. ■ Use paper that is 75 to 90 g/m 2 . ■ Use neutral paper .
Chapter 1 1 - 10 Paper capacity of the paper trays IMPORT ANT Do not use the following types of pap er or envelopes, they may cause a pape r jam and damage your machine.
Introduction 1 - 11 1 How to load paper To load paper or other media in the paper tray 1 Pull the paper tr ay completely out of the machine. 2 While pressing the p aper guide releas e lever, slide the adjusters to fit the paper size. Check that the gu ides are firmly in the slots.

Chapter 1 1 - 14 Fax tones and handshake When someone is sending a fax, the fax machine sends fax calling tones (CNG tones). These ar e quiet, intermitten t beeps every 4-seconds. You ’ll hear them after you dial and pr ess Start and they will continue for about 60 se conds after dialling.
2 - 1 2 2 Initial setup Setting the Date and Time When the machine is not in use it will display the date and time. If you set up the Statio n ID the date and time displaye d by your machine will be printed on every fax you send. If there is a power failure, you may ha ve to reset the date and time.
Chapter 2 2 - 2 Setting the Station ID You should st ore your name or com pany name and fax numbe r so they print on all fax pages you send. It is important th at you enter the fax numb er in the internationally sta ndardised format, i.
Getting started 2 - 3 2 Setting the Phone Line Type (For EU model only) If you are connecting the machine to a line that features a PABX (PBX ) or ISDN to send and receive fa xes, it is also necessary to change the Phone Line Type accord ingly by completing th e following steps.
Chapter 2 2 - 4 General Setup Setting the Mode Timer The machine has t wo temporary mode keys on the control panel: Fa x and Copy. You can change the num ber of seconds or minutes the machine takes af ter the last Copy operation before it returns to Fax mode.
Getting started 2 - 5 2 Setting the Paper Size You can use eight sizes of pape r for printing copies: Letter, Legal, A4, B5, A5, B6, A6 and Executive and two sizes for printing faxes: Letter and A4.
Chapter 2 2 - 6 Setting the Beeper Volume You can change the beepe r volume. The default setting is Med . When the beeper is on, the machine will beep when you press a key, make a mistake, or afte r you sent or received a fax. 1 Press Menu/Set , 1 , 4 , 2 .
Getting started 2 - 7 2 Choosing the Handset Volume (For Volume Amplify) (For USA and Canada only) Before you begin to use t he machine, you must decide if you need to set the han dset volume to Vol Amplify:On for a user who is hearing-impaired. The AMPLIFY volume level complies with FCC standard.
Chapter 2 2 - 8 Turning on Automatic Daylight Savings Time You can set the machine t o change automatically for Daylight Savings Tim e. It will reset itself forward on e hour in the Spring and backward on e hour in the Au tumn. Make sure you have se t the correct date and tim e in the Date/Time setting.
Getting started 2 - 9 2 Setting the LCD Contrast You can change the contrast t o help the LCD look lighter or darker. 1 Press Menu/Set , 1 , 7 . 2 Press ▲ or ▼ to select Light or Dark . Press Menu/Set . 3 Press Stop/Exit . Security You can set up your machine with multiple levels of security using Memory Security .

3 - 1 3 3 How to enter Fax mode Before sending faxes or ch anging fax send or receiving settings , make sure ( Fax ) is illuminated in green. If it is not, press ( Fax ) to enter Fax m ode. The defa ult setting is Fax mode. How to dial You can dial in any of the f ollowing ways.
Chapter 3 3 - 2 Speed-Dialling Press Search/Speed Dial , # , and then the three digit Spe ed-Dial number. (See Storing Speed-Dia l numbers on page 5-2 .) Note If the LCD shows Not Registered wh en you enter the One-Tou ch or Speed-Dial number, a number ha s not been stored at this location.
Setup Send 3 - 3 3 Fax Redial If you are sending a fax manually and th e line is busy, press Redial/Pause , and then press Start to try again. If yo u want to make a sec ond call to the la st number dialled, you can save time by pressing Redial/Pause and Start .
Chapter 3 3 - 4 Sending a fax at the end of a conversation At the end of a conversati on you can send a fax to the other party bef ore you both hang up. 1 Ask the oth er party to wa it for fax to nes (beeps) and then t o press the Start or Send key b efore hang ing up.
Setup Send 3 - 5 3 Contrast If your documen t is very light or ver y dark, you may want to change the contr ast. Use Light to send a light document. Use Dark to send a dark document. 1 If it is not illuminated in green, press ( Fax ). 2 Load your documen t.
Chapter 3 3 - 6 Dual Access You can dial a number, and begin scanning the fax into memory—even when the machine is sending fr om memory , receiving faxes. The LCD shows the new job number . Note ■ The number of pages you can scan into the memory will vary depending on the data that is printed on them.
Setup Send 3 - 7 3 Broadcasti ng Broadcasting is when t he same fax message is automatical ly sent to more than one fax number. You can include Grou ps, One-Touch, Speed-Dial num bers and up to 50 manually dialle d numbers in th e same broadcast. Press Menu/Set between ea ch of the numbers.
Chapter 3 3 - 8 Checking job status Check which jobs are still waiting in the memory to be sent. ( If there are no jobs , the LCD shows No Jobs Waiting .) 1 Press Menu/Set , 2 , 6 . 2 If you have more than one jo b waiting, press ▲ or ▼ to scroll throu gh the list.
Setup Send 3 - 9 3 Advanced sending operations Composing the electronic Cover Page The Cover Page is sent to the receiving party’s machine. Your Cover Page includes the name stored in t he One-Touch or Speed-Dial memory. If you are dialling manually, the name is left blank.
Chapter 3 3 - 10 5 Press ▲ or ▼ to select one of th e standard or your own comment s. Press Menu/Set . 6 Enter two digits to show the number of pages you are sending . Press Menu/Set . (For example, press 0 2 for 2 pages or enter 0 0 to leave th e number of pag es blank.
Setup Send 3 - 11 3 Delayed Fax During the day you can stor e up to 50 faxes in the memory to be sent within 2 4 hours. These faxes will be sent at the time of day you enter in Step 4. 1 If it is not illuminated in green, press ( Fax ). 2 Load your documen t.
Chapter 3 3 - 12 Setup for Polled Transmit (Standard) Polled Transmit is when you set up the machine to wait with a docu ment so another fax machine can retrieve it. Note ■ When someone polls your machin e to receive a fax, they pay for the call. ■ If you poll someone’s fa x machine to receive a fax, you pay for the call.
Setup Send 3 - 13 3 Setup for Polled Trans mit with Secure Code (For EU and Asia/Oceania only) Polled Transmit with Secu re Code is a way to keep documents from falling into the wrong hands while the machine is set up for polling. Note ■ When someone poll s your machine to receive a fax, they pa y for the ca ll.
4 - 1 4 Basic receiving operations Choosing the Receive Mode There are four different Receive Modes for your machine. You can choose th e mode that best suits your needs. Setup Receive LCD How it works When to u se it Fax Only (automatic receive) The machine automatically answers every call as a fax.
Setup Receive 4 - 2 4 To select or change your Receive Mode 1 Press Menu/Set , 0 , 1 . 2 Press ▲ or ▼ to select Fax Only , Fax/Tel , External TAD or Manual . Press Menu/Set . 3 Press Stop/Exit . Setting the Ring Delay The Ring Delay sets the num ber of times the machine rings befor e it answers in Fax Only or Fax/Tel mode.
Chapter 4 4 - 3 Setting the F/T Ring Time (Fax/Tel mode only) If you set the Rece ive Mode to Fax/Tel , you’ll need to decide how long the mac hine will signal you with its special pseudo/double-ring when you have a voice call. (If it’s a fax call, the machine receives the fax.
Setup Receive 4 - 4 4 1 If it is not illuminated in green, press ( Fax ). 2 Press Menu/Set , 2 , 1 , 3 . (For EU and O ceania) (For USA and Canada) 3 Press ▲ or ▼ to select On , ( Semi ) or Off .
Chapter 4 4 - 5 Receiving a fax at the end of a conversation At the end of a conversation you can ask the other party to f ax you information before you both hang up. 1 Ask the other party to p lace the document in their m achine and to press Start or Send key.
Setup Receive 4 - 6 4 Reception into memory As soon as the paper tray become s empty during fax reception, the screen will display No Paper Fed ; please put some paper in the paper tray. (See How to load paper on page 1-11.) If Memory Receive is On at this time.
Chapter 4 4 - 7 Secure Polling (For EU and Asia/Oceania only) Secure Polling is a way to keep the documents from falling into t he wrong hands while the other fax ma chine is set up for polling. Setup for Polling Receive (Secure) (For EU and Asia/Oceania only) You need to make sure you are using t he same secure code as the other party.
Setup Receive 4 - 8 4 2 (for EU and Asia/Ocean ia) Press Menu/Set , 2 , 1 , 8 . (for USA and Cana da) Press Menu/Set , 2 , 1 , 7 . 3 (for USA and Cana da) Go to Step 5. (for EU and Asia/Ocean ia) Press ▲ or ▼ to choose Standard , Secure or Timer .
5 - 1 5 Storing numbers for easy dialling You can set up your machine to do following types of easy dia lling: One-Touch, Speed-Dial and Gro ups for Broadcasting faxes. When you dial a quick-dial numb er, the LCD shows the name, if you stored it, or the number.
Quick-Dial numbers and dia lling options 5 - 2 5 Storing Speed-Dial numbers You can store Speed-Dia l numbers, so that when you dial you will only have to press a few keys ( Search/Speed Dial , # , the three-digi t number, and Start ). The machine can store 200 Speed-Dial n umbers.
Chapter 5 5 - 3 Setting up Groups for Broadcasti ng Groups, which can be stored on a One-Touch key or a Speed-Dial lo cation, allow you to send the same fax me ssage to many fa x numbers by pres sing only a One-To uch key and Start or S earch/Speed Dial , # , the three-digi t location and Start .
Quick-Dial numbers and dia lling options 5 - 4 5 Dialling options Access codes and credit card numbers Sometimes you may want to choose from several long distance carriers when you make a call.
6 - 1 6 Setting Remote Fax Options Note ■ You can only u se one remote fax option a t a time: Fax Forw arding—OR— Paging*—OR— Fax Storage—OR—Off . * Paging available for USA an d Canada only ■ If you change the remote fax options and received faxes are left in your machine’s memory, an LCD message will appear.
Remote Fax Options 6 - 2 6 Programming your pager number (For USA and Canada only) When Paging is selected , your machine dials the pager number you’ve programmed, a nd then dials yo ur Personal Identif ication Number (PIN). Thi s activates your pager so you will know that you have a fax message in the memory.
Chapter 6 6 - 3 Changing Remote Fax Options If received faxes are left in you r machine’s memory when you ch ange the remote fax option the LCD will ask you the following question: — OR — * Erase All FAX ? will be displayed for USA and Canada. ■ If you press 1 , faxes in the memory will be erased or print ed before the sett ing changes.
Remote Fax Options 6 - 4 6 Remote Retrieval You can call your machine from any touch tone telephone or fax machine, the n use the Remote Access Code and remote commands to retrieve fa x messages . Be sure to cut out the Remote Retrieva l Access Card on the last page and keep it with you at a ll times.
Chapter 6 6 - 5 Remote comman ds Follow the commands b elow to access features when yo u are away from the machin e. When you call the machine and ente r your Remote Access Code (3 di gits followed by ), the system will give two short beeps and yo u must enter a remote command.
Remote Fax Options 6 - 6 6 Retrieving fax messages You can call your machine from any touch tone phone a nd have your fax messages sent to a fax mach ine. 1 Dial your fax number. 2 When your machine answers, immediately ente r your Remote Access Code (3 di gits followed by ).
7 - 1 7 Fax settings and activity You need to set up the Tran smission Verification R eport and Journal Period in the menu tab le. Press Menu/Set , 2 , 4 , 1 . * Transmission will be displayed for USA and Canada. — OR — Press Menu/Set , 2 , 4 , 2 .
Printing reports 7 - 2 7 Setting the Journal Period You can set the machine to pr int a journal at specific intervals (every 50 faxe s, 6, 12 or 24 hours, 2 or 7 days). If you se t the interval t o Off , you can print th e report by followin g the steps on Pr inting repo rts.
8 - 1 8 ‘ Using the machine as a copier You can us e your mac hine as a co pier, making up to 99 copies at a time . Enter Copy mode Before makin g copies, ma ke sure that ( Copy ) is illuminated in green. If it is not, press ( Copy ) to enter Copy mod e.
Making copies 8 - 2 8 Making a single copy 1 Press ( Copy ) to illuminate it in green. 2 Load your documen t. (See Load docu ment on page 1-8. ) 3 Press Start . Making multiple copies 1 Press ( Copy ) to illuminate it in green. 2 Load your documen t. 3 Use the dial pad to ente r the number of copies you want (up to 99).
Chapter 8 8 - 3 Changing the tempor ary copy settings Use the Options key to q uickly set the fo llowing copy settings temporar ily for the next copy. Note The factory setting s are shown in Bold. After you choose your set tings by pressing Men u/Set , the LCD shows Set temporarily .
Making copies 8 - 4 8 Enlarging or reducing the image copied You can select the following enl argement or reduction rat ios. Auto automatically cal culates the reducti on ratio for the pa per size set for the mach ine ( Menu/Set , 1 , 3 ). Custom(50-200%) allows you to enter a ratio from 50% to 2 00%.
Chapter 8 8 - 5 Quality You can select the copy quality. The default setting is Auto . 1 Press ( Copy ) to illuminate it in green. 2 Load your documen t. 3 Use the dial pad to ente r the number of copies you want (up to 99). 4 Press Options and ▲ or ▼ to select Quality .
Making copies 8 - 6 8 Making N in 1 copies (Page Lay out) You can reduce the amount of copies by using the N in 1 copy fe ature. This allows you to copy two or fo ur pages onto one pag e, allowing you to save paper . Note ■ Please make sure pape r size is set to Letter or A4 .
Chapter 8 8 - 7 Changing the default copy settings You can save the quality and contrast settings you use most often by setting t hem as default. These sett ings will remain until you change them again. Quality 1 Press Menu/Set , 3 , 1 . 2 Press ▲ or ▼ to select Auto , Text or Photo .
9 - 1 9 9 IEC 60825-1 Specification This machine is a Class 1 laser product as defined in IEC60825-1:2 007 (EN60825-1:F2007) specifications. The labe l shown below is attached in countries where req uired. This machine has a Class 3B Laser Diode which emits invisible laser radiation in the Scanne r Unit.

11 - 1 11 11 Troubleshooting Error messages As with any soph isticated office p roduct, errors may occur . If this happe ns, your machine ide ntifies the problem and displays an error message. Th e most common error messages are shown below. You can correct most problems by yourself.
Chapter 11 11 - 2 Document Jam The document was not inserted or fed properly, or the document scanned from the ADF was too long. See Document jams on page 11-4. See Using the automatic document feeder (ADF) on page 1-8. Drum Error The drum unit needs to be cleaned.
Troubleshooting and routine main tenance 11 - 3 11 Out of Memory The machine’s memory is full. (Fax sending or copy operation in progress) Press Start to send or co py the scanned pages. — OR — Press Stop/Exit and wait until th e other operations in progress have finished and then try again.
Chapter 11 11 - 4 Checking if the machine has faxes in its memory 1 Press Menu/Set , 9 , 0 , 1 . 2 If the LCD shows No Data , there ar e no faxes left in the machine’s memory. — OR — If the LCD shows Enter Fax No. there are faxes in the machine’s memory .
Troubleshooting and routine main tenance 11 - 5 11 Paper jams To clear paper jams, please follo w the steps in this section. Paper is jammed inside the machine 1 Pull the paper tr ay completely out of the machine. 2 Pull the jammed paper ou t of the paper tray opening.
Chapter 11 11 - 6 5 Put the drum unit an d toner cartridge assembly back into the mach ine. 6 Close the front cover. 7 Put the paper tray in the machine. Paper is jammed at the back of the machine 1 Open the fron t cover. 2 Pull out the drum unit and to ner cartridge assembly.
Troubleshooting and routine main tenance 11 - 7 11 4 Pull the tab toward yo u to open the re ar chute cover. 5 Pull the jammed paper out of the fuser unit. If the jam med paper cannot be pulled out easily, push down the blu e tab with one hand as you gently pull out th e paper with the other hand.
