Page 1 About the printer The outside of the printer Duplex Module: Opt ional module at the back of the printer . Printer Cover . Latch: Lift the latch to open the prin ter cover . Input Hopper: Open the cover to load blank cards. Output Hopper: Remove comple ted cards.
Page 2 Ports are located on the left side of the printer . USB Data Port: Connect the data cable to the printer . ALL printers have this port. Manual Advance Knob: Use to move a card in the printer or to turn rollers. Power Receptacle: Plug in the power supply to power on th e printer .
Page 3 The inside of the printer Cover Arm: Holds the cover and printhead cartridge in p lace. Printhead Cartridge : Applies the image to the card. The label includ es ”Y MC” for color or “K” for monochrome printheads. Print Ribbon Cartridge (shown with color print ribbon).
Page 4 Features and options Features and options are ide ntified on the prin ter label. • Printers with “U” printing can print one color (monochr ome) only . Printers with “C” printing are full-color or monochrome printing . • All P4000 ID card printers have a USB co nnection .
Page 5 Loading cards 1 Open the input hoppe r cover . 2 Remove cards from the original package. Tip s: Handling cards • Cards can stick together: Slide or fan ca rds to separate the edges. • Do not touch the surface of cards be fore printing them.
Page 6 3 Place the cards in the input hopper . The diagram shows the ty pical locations for the magnetic stripe and smart card chip. 4 Push the input hopper cover close d until it latches. See Info Central for current information about cards to use in the printer .
Page 7 Loading print ribbon 1 Open the printer cover . 2 Remove the ribbon cartridge. 3 Remove both used ribbon spools fr om the cartridge (if present). Tip s: Handling print ribbon • Keep unused ribbon in the original package. • Don’t place ribbon on a dusty or dirty surf ace– dirt could damage the prin thead.
Page 8 7 Replace the loade d ribbon cartri dge in t he printer . — Make sure bot h spindles rest in the black sup ports on the left side of the printer . — Make sure the ribbon cartridge handle rests in the supports on the right side of the printer .
Page 9 Check the PC connection The printer and PC are connected when the pr inter is set up. Before beginning card processing, make sure the connection is complete. The USB data cable should be connected t o a USB port on the PC and to the USB data port on the printer.
Page 10 Power on the printer Plug in the printer to power it on. The printer does n ot have a power switch . 1 Make sure the power supp ly cord connects to the printer power receptacle (1). 2 Connect the power cord to the power supply (2). 3 Connect the power cord to the power outlet (3).
Page 1 1 S tatus light The front of the print er has a light that provides information about the current state of the printer . At startup, the status light displays steady amber for several seconds, a red-amber-green sequence, and t hen blinking green for several seconds.
Page 12 Blinking Amber The printer has an error . Check the following: • See the PC for a message. • If you used t he Power-on/Ready sequen ce to print a test card, check the prin ter for proble ms. • If you changed the printe r name, power the PC off and on.
Page 13 Opening Printing Preferences Begin with the printer conne cted to t he PC and powered on so values are saved correctly . 1 Choose S tart from the Windows task bar . 2 Choose Settings and then Printers (and Faxes). The Printers (and Faxes) window open s.
Page 14 5 View settings or change settings. — Make sure that d river settings matc h printer features and sup plies used. — The Print Ribbon T ype setting is read fro m the printer and cannot be changed (for most connection types). — If you change the card design, review and update all settings fo r the new card design.
Page 15 Open the Printer T oolbox The Printer T oolbox icon is located in the lower rig ht corner of the Windows deskto p. The icon shows the status of communication between the print er and PC. See Info Central for details ab out the i con. By default, the Printer T oolbox dialog box is displaye d.
Page 16 The Printer T oolbo x displays: • The current state of communication betwe en the driver and printer. • Message text, if there are any messages. • The current port mode, whi ch can be USB, Shared Mode, or Directly Networked. • The pri nter type.
Page 17 Cleaning the printer Run a cleaning card and chan ge the cleaning sleeve whe n changing the print ribbon. Make sure that all cards sent to the printer have completed printing before cleaning. 1 Open the printer cover and remove the ribbon cartridge.
Page 18 10 Slide the used cleaning sleeve off the spi ndle. 11 Discard the used cleaning card and us ed sleeve. 12 Place a new cleaning sleeve on the sp indle (1). 13 Remove the protective cover from the sleeve (2). 14 Insert the cleaning roller (with a new cle aning sleeve) into the printer (3).
Page 19 Printer supplies Ribbon kits and cleaning supplies are av ailable for the P4000 ID card printer. Ribbon kits contain a roll of print ribbon, a cleaning card , and a replaceable cle aning sleeve. For best resul ts, run a cleaning card and replace the cleaning sleeve each time you change the prin t ribbon.
Page 20 Available monochrome colors include: Cleaning supplies In addition to the clea ning supplies included in the ribbon kit, it is recommende d that you order additional cleaning supplies to have on hand to address unusual situations. • A package of 5 replaceable cleaning sle eves is available.
Page 21 Getting the most out of your printer T o get the best quality cards and to ma intain printer performance, follow t hese tips for success: • Use the best quality cards availabl e with a smooth, glo ssy PVC surface, and print them only once. Make sure options, such as a signa ture panel or a magnetic stripe, are high qualit y .
Page 22 — Follow instructions carefully when replacing supplies, corre cting problems, cleaning the pri nter , and replacing parts. • Use cables that meet specificat ions and connect them correctl y . • Keep cards and supplies on ha nd and store them safely .
Page 23 T roubleshooting What is the problem? T ry this: 1 A message appe ars on the PC. • Click the Help button on the message box t o see possible causes and the solution for each cause. See the “Related T opics” to fix the problem. 2 The printed cards do not loo k the way that wa s intended.
