Key Things to Remember about Faxing In General N Some of the settings that y ou can make with the HP OfficeJet Manager apply t o both PC and paper faxes; others apply only t o paper faxes. For detail s, see "Modifyi ng Device S ettings" in chapt er 1.
Send paper faxes , sca n documents, and make c opies by loading your docum ent in the fax/copy loading tray . Flip this legal extension backwa rd to support legal-s ize docume nts. Lift the to p cover to change the p rint car` tridge. Load pape r in the paper tray for recei ved faxes , print jobs, reports , and copies.
Using the AutoPrompt Whenever you l oad a paper document int o the loading tray of your HP OfficeJet, the AutoPrompt immediately dis plays on your PC screen. The AutoPrompt lets you return to your PC s o you can quickly s end your fax, make your copy, or scan your document and cont inue your work.
Sending a paper fax using the AutoPrompt 1. When you cl ick the AutoP rompt Fax button, t he Send Fax dialog box displa ys. Enter the name and fax number of the recipient and the t otal number of pages the person will receive.
Copying using the AutoPrompt When you press the Copy button, a C opy dialog box displ ays. This all ows you to set the number of copi es and any reduction or contrast setting y ou might want. For m ore information , refer to the online help or chapter 4 of this manual.
For HP OfficeJet Model 350 users who have al ready inst alled their OmniPage Li mited software, a fourth option, Scan with OCR ,i sa l s o available on the AutoPrompt.
Sending a Fax Directly from Your PC 1. Using your Windows application, creat e the document you want to fax. 2. Choose File/Print Setup in your Window s applicat ion and select E-FAX on OfficeJet as the p rinter. 3. Use the applicati on's Print command to "print" the document.
Sending a Paper Fax Using the Front Panel 1. Dial t he fax number using one of the following met hods. N Use the numeri c buttons on the HP OfficeJet. N Press the S peed Dial bu tton and a 2-digit code. N Press one of the 10 One-Touch buttons. sl-46b 2.
Making Copies Using the Front Panel 1. Adjust the document guide, if necessary, then load your document face-down in the loading tray. Depending on the t hickness of the page, you can load up to 20 pages . sl-46b 2. Press Start /Copy , then enter the number of copies you w ant (up to 99 copies).

Introducing the HP OfficeJet Manager In this chapter, you will learn how to use the HP OfficeJet Manager, a software application pro gram that allows you to man age tasks such as monitori ng the stat us of your HP OfficeJet, print ing logs and reports, and modifying device s ettings t hat were preins talled at the factory.
Running the HP OfficeJet Manager To run the HP OfficeJet Manager, double-click the HP OfficeJet Manager icon. The HP OfficeJ et Manager window appears . A menu bar is displ ayed across the top of t he window, with the headi ngs File , OfficeJet Setup , Option s , Reports and Help .
Using the HP OfficeJet Manager Help System The HP OfficeJet Manager has an online help system. When you choose Help from the HP OfficeJet Manager menu bar, a drop-down menu appears. The menu items are explained below. N Choose H elp/Contents to displ ay the contents of the onl ine help system.
Using the File Menu When you choose File from the main OfficeJet Manager menu, the following drop-down menu appears. Running Eclipse FAX SE from the HP OfficeJet M anager To run Eclipse FAX SE directly from the HP OfficeJet Manager, choose File/Run Eclipse FAX SE and then refer to chapter 3 for complete inf ormation.
Using the OfficeJet Setup Menu When you choose OfficeJet Setu p from the main OfficeJet Manager menu, a drop-down menu appears , whi ch you can use t o configure the HP Officejet device settings. Modifying Device Setting s The table bel ow summarizes all t he device setti ngs you can change with the HP OfficeJet Manager.

Using Send Fax Setup To set up header informatio n, dialing mode, an d automatic redial, choose Office Jet Setup/Send Fax Setup . The S end Fax S etup dialog box appears, with the fax header at the top of the page, as shown below. Firs t, review the header information for outgoing faxes.
Selecting D ialing Mode Dialing Mode offers you an option between Pulse and Tone. In the Dialing Mode box, choose Tone if your telephone has touch-tone capability; choose Pulse if it does not.
Setting up Speed Dialing (for Paper Faxes Only) The speed di aling feature all ows you to st ore frequently us ed fax numbers (either to individuals or groups) by assigning code numbers to them and thus quickens t he dialing process.
Storing Speed Dial Codes for Individuals 1. Choose O fficeJet Setup/Speed Dial Setup . 2. In the Name and Fax Number boxes, across from each code, type the recipient's name (pers on or company name) and fax number. Use the Tab key to move from o ne column to th e other.
To delete an entry, highlig ht the name by clicking it, and press the Delete key on your keyboard. To print a report showing all the information you have s tored in speed dial codes, click the Print Speed Dial Rep ort button at the bottom of the dialog box.
Changing Send Fax Quality When you choose O fficeJet Setup/Send Fax Quality , the Send Fax Quality dialo g box appears. Changing the contrast To modify the Contrast of copies or outgoing paper faxes , cli ck: N Darken for originals that are too light.
Note : For PC scanning, you can override the set tings made here. F or more informati on, see chapter 3 or the online help syst em for Eclipse FAX SE. Using Receive Fax Setup When you choose OfficeJet S etup/Receiv e Fax Setup , the Receive Fax Setup dialog box app ears.
Selecting Auto or Manual Receive Mode for in coming faxes Before you select the auto or manual Receive Mode setting f or incoming faxes, review the set up information in your Inst allation Guide to make sure your sys tem is cabled c orrectly. Then make your selection based on the fo llowing.
Setting Automatic Reduction The Automatic Reduction setting automatically reduces each page of your incoming fax to fit the p aper loaded in the tray. The Factory setting is Automatic Reduction =On . To turn it off, remove the c heck from the checkbox.
Distinctive Ring "Disti nctive ring" is a service provided by a telephone company. You need to check wi th your telephone company t o see if it is offered in your area. If it is offered, it allows you to have two or t hree phone numbers on the same phone line and is cheaper than having separat e lines.
Remote Servic e If you've contacted a Hewlett-Packard service representat ive about a problem , you may be asked to turn the remote serv ice setting On by clicking the checkbox. The factory setting is Remote Service=Off . Reset it to Off after the problem has been diagnosed.
Reducing Copies of Originals To make reduced copies of originals, sel ect OfficeJet Setup/Copy Reduction and sl ide the mouse down the l ist of percentages displayed in the drop-down menu. Releas e the mous e button after your selecti on has be highlighted.
Do the foll owing before changi ng any settings on this dial og box. 1. Determine if your DOS s oftware appl ication provides a printer driver that you can use. Check the pri nter selecti on or printer se tup menu in your software application for a list of pr inter mod els.
Controlling Sound Settings To modify the sounds produced by your HP Offi ceJet, sel ect OfficeJet Se tup/Sounds . A marked setting indicates th e feature is on o r selected. To turn the ri nger and beeps on/off, or to modify the volume, click t he checkbox.
Using the Options Menu The Options menu gives you three opti ons to choose from: Notify When , AutoPro mpt ,a n d PC Faxing . Being notified o f errors or warnings Whenever an error and/or warning occurs , you have the option to make the HP O fficeJet Manager w indow pop to the foreground, so that you are alerted immediately.
Using the AutoPrompt Whenever you place a paper document int o the loading tray of your HP OfficeJ et, the AutoPrompt wil l be displ ayed on your PC screen. You can either choose the AutoPrompt on your PC screen to fax, copy, or scan the document, or use t he HP Offi ceJet front panel buttons to fax or c opy your document.
You can turn off the HP OfficeJet Series 300 AutoPrompt feature by clicking t he box to the left of "Don't show AutoPrompt when a document is loaded" on the AutoPrompt screen or by choosing Options/AutoPrompt and selecting Disable . To turn on the AutoPrompt feat ure again, open the HP OfficeJet Manager.
Rout ing R eceived Faxes When PC faxi ng is enabl ed, you will be asked to s pecify whether to route incoming faxes to the HP OfficeJet printer or to your PC . N To Printer ` If you select this option, incoming faxes are printed on the HP OfficeJet and immediatel y removed from the device's memory.
Printing Logs and Reports The Reports menu offers three choices: Automatic Log , Print Fax Log ,a n d Print Reports. Printing a Fax Log Report Automatically When you choose Reports/Auto matic Log from the HP OfficeJet Manager menu, the A utomatic Fa x Log dialog box appears .

If your power fail report heading is "These faxes were in the process of being received but were not completely printed," ask the sender to resend the document. If your report's heading is, "These faxes were not complet ely sent," you may have to resend the entire document .

2` 2 What You Need to Know... This chapter expl ains how to send paper documents to other fax machines, as well as send a loaded document on request (being polled), or ret rieve a document from another fax machine (polling). To send faxes from, and receive faxes to, your PC, refer to chapter 3.
Redial/Pau se To immediately start redialing the last fax number you dial ed, press Redial/Pause . The Redial/Pause button al lows you t o do two things : N Immediately st art redialing t he last fax number you dialed. If you press Redial/Pause while the automati c redial tim er is displayed, the next redial begins immediately.
2` 4 Sending a Paper Fax Using the AutoPrompt 1. Load your document face-down i n the fax loading tray. (Depending on the thicknes s of the paper, you can load up to 20 pages. However, if you have probl ems, try sendi ng a few pages at a ti me.) Wait a few seconds while the HP OfficeJet begins to load the bottom page.
3. Click the Fax button, the Send Fax dialog box displays. 4. Enter the name and fax number of the recipient. Opt ionally, you can also choose to send a PC fax cover sheet with t his paper fax by clicking the Send Cover checkbox and selecting a cover sheet.

Helpful Hint s: N If the line is busy, t he fax number may be redialed automati cally several ti mes. Or, you may choose to manually redial with the Redial button instead. See "Redialing with the Redial/Pause Button " at the beginning of this chapter.
2` 8 Sending Paper Faxes to Multiple Fax Numbers The foll owing procedure lets you manually send a paper fax to several numbers you have not already g rouped. If your document does not fit i nto memory, you will need to se nd the document to each fax number, one at a t ime.
MENU: Fax Settings Send Fax Later Sending a Paper Fax at a Future Time You can schedule a fax to be s ent automaticall y, up to 24 hours later than the current time. You can also send a paper fax at a future time by using the Scan and Fax feature of Eclipse FAX S E.

MENU: Fax Settings Polling Setup Sending a Fax to Another Fax Machine Upon Request (Being Polled) The following procedure all ows another fax machine t o instruct the HP OfficeJet to send it a paper fax. You can only b e polled by one other fax machine at a time.

Resoluti on Adjusting the Resolution The Resolution setting affects the quality at which your outgoing faxes a re scanned. Change th e Resolutio n setting before faxing or copying. Either use the HP OfficeJet Manager ( Office Jet Setup/Send Fax Quality dialog box) described in chapter 1 or the front panel instructions des cribed here.

Introducing Eclipse FAX SE Eclipse FAX SE is a softwar e progr am that allows yo u to scan and fax documents from your PC , as w ell as send and receive faxes directly to your P C, rat her than to the device itsel f. First make sure you are in your Windows desktop.
Using Eclipse FAX S E To access Eclipse FAX SE, do one of the following: N Choose File/Run Eclipse FAX SE from the HP OfficeJet Manager menu. N Double-click the Ecli pse FAX SE icon in the HP OfficeJet Series 300 program window. N Click t he Fax or Scan button in t he AutoPrompt w indow.
Using the Help System Eclipse FA X SE has a comprehens ive online help sys tem, designed to help you look up the topics quickl y. When you choose Hel p from the Eclipse FAX SE menu bar, a drop-down menu is displayed (see figure on previous page). N Choose H elp/Contents to displ ay the contents of the onl ine help system.
Sending PC Faxes You can use E clipse Fax SE to send a fax directly from your PC , instead of from the device, and you can use the AutoPrompt to fax, copy, and scan paper documents.
Change any of the foll owing as necessary. Resolution - yo u are given two options. The factor y setting is Standard . N Standard resolution (th e default) is 204 x 98 dpi.

Sending a fax from a Windows application To fax a document from a Windows applicat ion, other than Ecli pse FAX SE, f ollow th ese step s. 1. In your Wi ndows applicati on (Word for W indows, Lot us 1-2-3, Excel, and s o on), create the document you want t o fax.
The Name box The Compa ny box The Phonebook box 6. In the Name box, type the name of the reci pient ( person or company name) . To select the recipient's name from an existing Eclips e FAX SE phonebook, go t o step 7.
7. In the Phonebook box, sel ect the phonebook you wa nt by clicking on it. Next, click the arrow to the right of the Name box and cli ck the recipient's name, or, type the first few letters of the recipient's last name and press the Tab key.
8. The Fax Cover Sheet box shows the name of the las t cover sheet used. N To send the sel ected cover page with your fax, clic k the Se nd Cover butt on. N To send a different cover page, clic k the Send Cove r button, then click the arrow to the right of the box and cl ick the cover page you want.
11. Under Schedule , do one of the following: N Skip this box if you want your fax sent at t he current date and time, but aft er any pending faxes that are scheduled for the s ame date and time. (This is the default.) N Click the Immedia tely checkbox if you want t o send this fax before any pending faxes.
Place Im age: Add an image t o your fax before s ending it. When you click the Send Fax bu tton, the fax is displayed with th e Place Image window open. See "Adding an Image to a PC Fax," l ater in this chapter. Append Pages : Add documents to your fax before sending it.
Sending a Quick Note from Eclipse FAX SE The Quick Note feature lets you add a note to a cover page before sending a fax, and is the easiest way to fax a s hort message. 1. From the Eclipse FAX SE menu bar, choose Send/Quick Note . For the Qui ck Note feature, t he Send Fax dialog box looks l ike this.
3. Click the Send Fax button. The Cover Sheet Notes dialog box appears. 4. Move your cursor to the No te box by clicking i n it or by press ing the Tab key, and type your note.
Using the Send Log to view, print, resend, delete, or reschedule faxes Eclipse FA X SE keeps a log (list) of the faxes you have sent, whi ch you can use to view , modify, print, delet e, or reschedule faxes. To open the S end Log, choos e Send/Log from the Eclipse FAX SE menu bar.
Viewing Faxes 1. To view a fax, do one of the followi ng: N double-click on t he entry in the Send Log, or, N highlight the e ntry and cl ick the View butt on. The fax is dis played, with the View toolbar and additional menu choices. 2. Close the fax opened from Send Log .
Rescheduling a fax 1. Set the dis play to Unsent Faxes or All Faxe s . 2. Highlight the entry and click the Resched button. The Reschedule F ax dialog box appears.
Resending a fax from the Send Log You can resend a fax from the Send Log even if the fax has a st atus of Completed or Terminated (unless it was a paper fax sent using the AutoPrompt). 1. Set the Send Log dis play to Sent Faxes or Al l Faxes . 2. Highlight the entry and cl ick the Resend button.
Printing the Send Log To print the Send Log, from the Send Log menu click the Pr int Log button. The Printer Set up dialog box appears; select HP OfficeJet Printer , if it isn't selected and click the OK button.
Sending a fax to more than one recipient You can send a fax to every person in a phonebook, s elected individuals from one phonebook, or individuals from more t han one phonebook. Before sendi ng a group fax, make sure all the recipients have been added to the phonebooks first .
When you have finis h ed adding recipient s from t his phonebook, select another phonebook. Cont inue in this manner until you have added all the recipients you want. If you add a recipient by mistake, highl ight the name and click t he Rem ove button.
3. If you did not choose one of the Specia l options , you are fini shed with the procedure. Your fax will be sent at the s cheduled time to each recipient in the group. 4. If you did choose one of the S pecial options, the option takes place now. If you chose: N Fax Prev iew , your fax is displayed with t he Thumbnail tool bar.
Adding a New Phonebook If you need to s end the s ame fax to different groups of people, such as vendors , clients, or coll eagues, to s ave time and duplicat ion, Eclipse F AX SE allows you to creat e phonebooks in w hich you can store a list of names, fax numbers, and related information for easy recall.
Using Eclipse FAX SE to add a new Phonebook 1. Open Eclipse FAX SE. 2. From the Ecl ipse FAX S E menu bar, choose File/O pen Phonebook . The Phonebook di alog box appears. 3. In the Phonebook Title box, type t he name of the phonebook. 4. Click the Add button.
Adding names to a P honebook 1. From the Eclipse FAX SE menu bar, choose File/Open Phonebook . The Phonebook dialog box appears. 2. In the Phonebook Title box, type the name of the phonebook. 3. For each person or company, and related information, you want to add to the phonebook, first: N Complete th e Name and Fax boxes - this is required.
Specia l Charac ters Use in Fax Nu mbers asterisk (*) If the Dialing Mode is se t to pulse, the asterisk switche s the dialing m ode from pulse to tone . If the Dialing Mode is set to tone, the a steris k cause s a "*" tone to be emitted. (In Eclipse FAX SE only, a capital T can be used instead o f an asterisk .
Deleting a Phonebook 1. From the Eclipse FAX SE menu bar, choose File/Open Phonebook . The Phonebook dialog box appears. 2. In the Phonebook Title box, select the phonebook. 3. Click the Delete button. 4. You'll be asked if you wa nt to delete the current phonebook and all associated entries.

Modifying a Phonebook from the Send Fax Dialog Box To modify a phonebook from t he Send Fax dialog box, while you're in the process of sending a fax: 1. Click the Phonebook button. Importing names and fax numbers from other applications In addition to creating a phonebook in Eclipse FAX SE, you can us e another applicat ion to create your entries and t hen import them into Eclipse FAX SE. Only files in the formats shown below can be imported into Eclipse FAX SE phonebooks.

Receiving Faxes to Your PC When you select R eceive from Eclipse FAX SE, you are given two options: log and s etup. First, however, select Receive/ Setup to indicate how you to want t o receive your faxes (to printer, PC, or both).
Using the Receive Log to view, print, or delete faxes Each time you receive a fax, it is recorded in a log. The log is a summary of the date and ti me the fax was se nt; name of sender; i f the job was completed; number of pages; and the time it took, as shown in the figure below (read from l eft to right).
Deleting Faxes To delete one or more faxes from the R eceive Log, follow the steps below. Note:` Once a fax has been deleted, it can't be recovered. 1. Do one of the followi ng: N To delete one fax, highlight the entry and cli ck the Delete button.

Continue wi th the steps below until you've col lected and added the files you need, e ven if they're not in the right order, becaus e you can change that later.
3. Use t he Thumbnail toolbar to delete the pages or change the order of the pages. F or more information, s ee "The Thumbnail Toolbar." (Using Method 2 or 3 of "Preparing to Collect Documents," you have the option to incl ude a cover page showi ng the total number of pages in the fax.

Solving Problems While Printing, Faxing, or Copying This section describes how to solve problems you might encounter while using the HP OfficeJet. Solution: Cause: Symp tom: The print cartridge h as dried ink on the "nose." The ink nozzles of the print cartridge are clogged. 1. Solution: Cause: Symp tom: I can't get the font size I wan t when printing from my DOS application. The HP Office Jet does not support the use of font cartridg es. Some DOS application printer drivers require that certain fon t styles are resid ent on the printer.
